We’re looking for an Office and Operations manager to join our friendly and collaborative team.

We work with both public and private sector clients to analyse and understand the impacts of transformative developments, policy proposals, and sector-specific initiatives on local, regional, and national economies.

Details of the opportunity

You will be at the heart of our operations, ensuring that the company runs efficiently day-to-day, while also providing high-quality personal assistance to senior leadership.

In this role, you will:

  • Be the first point of contact for the company: Act as gatekeeper for the Partners, managing phone calls, visitors, and correspondence with professionalism and discretion.
  • Manage executive support: Coordinate partner diaries, inboxes, and email correspondence; collate and prepare presentations, and proposals using Word, Excel, and PowerPoint; take minutes when required; and maintain the company contact database.
  • Coordinate partner travel: Arrange domestic and international travel itineraries when necessary, including flights, hotels, and transfers.
  • Oversee office operations: Manage suppliers, facilities, IT coordination, office post, supplies, and kitchen stock to ensure the smooth day-to-day running of the office. Represent Volterra as the first point of contact for suppliers and contractors.
  • Support HR processes: Administer onboarding logistics (IT and workspace setup, DSE and health & safety assessments, compliance requirements), issue offer letters, maintain personnel records, and help with pensions and payroll documentation when occasionally required. Liaise with the HR team who lead on recruitment, employee relations, and policy development.
  • Ensure compliance and organisation: Assist with company certifications such as Cyber Essentials, maintain up-to-date policies and records on SharePoint, and coordinate health & safety protocols (including workspace setup and ergonomic assessments).
  • Plan and deliver events: Organise company socials, team-building activities, client events, and partner dinners and meetings.
  • Support business processes: Assist with the administrative elements of tender submissions (when required) and other internal processes that keep the business running smoothly. Coordinate with the IT team to ensure all systems, devices, and technical processes run smoothly.
  • Contribute to efficiency and growth: Proactively identify opportunities to streamline office and administrative processes, adopting automation where possible, and help ensure that all office resources are used responsibly. Carry out one-off research tasks when necessary, such as looking into memberships, marketing and speaking opportunities for partners.
  • Maintain strict confidentiality: Handle sensitive information, HR records, contracts, and partner correspondence with complete discretion.

This role is ideal for someone who enjoys balancing operational organisation with hands-on support to senior leaders. We are looking for someone who is detail-oriented, adaptable, and eager to contribute to a small but fast-paced consultancy.

What are we looking for?

  • Proven experience in a similar role
  • Excellent communication skills (both written and verbal)
  • Good organisation skills, ability to multitask and with good attention to detail.
  • Competent with Microsoft Office(Outlook, Word, Excel, PowerPoint).
  • Able to handle confidential information sensitively.
  • Strong team player who contributes positively to a collaborative environment.
  • Proactive and able to work under pressure, with excellent prioritisation skills.
  • Able to anticipate requirements and take initiative.

We are looking for your employment to start immediately, but are flexible around start dates if there are reasons why you are unable to start immediately. Whilst we are ideally looking for a full-time five day a week employee, we are happy to discuss flexibility requirements for the role and part-time positions if this is preferred.
