We’re looking for an Operations and Project Coordinator to join our friendly and collaborative team.

We are looking to expand our operations team with the introduction of this new role. This position will report into our Office and Operations Manager and work closely with both our Senior Leadership Team and consultant project teams to ensure the smooth day-to-day running of our consultancy, efficient project delivery and consistent client service.
Key responsibilities
Project support:
- Ensure consistent project administration and version control, using Volterra templates and tracking tools.
- Coordinate up to 4-5 active projects at any one time – scheduling meetings, preparing documentation, maintaining RAID/action logs, and liaising with subcontractors and clients.
- Schedule meetings and reviews, prepare concise minutes and action lists, update progress against timescales, coordinate sub-consultants and liaise with clients on project management topics such as invoicing schedules and contracts.
- Encourage consultant project teams to improve efficiencies on projects and innovate on their offer to client where possible.
Design and bid production
- Lead the design and layout of proposals, reports, and presentations in Adobe InDesign, ensuring documents are clear, professional and on-brand.
- Manage the end-to-end bid process on large bids, from formatting and compilation through to submission and final quality checks.
- Support consultants with visual materials and infographics (with external design input where needed).
- Maintain and update house templates, image libraries, and brand assets.
EA support
- Provide EA support to two of the Senior Leadership team, including daily diary and email management, travel coordination and preparation of meeting packs and agendas when required.
Systems and process management
- Maintain and develop workflows in project management software and the firm’s CRM, including light integrations and automation. Support process improvement and data hygiene across internal systems.
Finance and reporting
- Manage the firm’s invoicing process – preparing and issuing invoices, maintaining the WIP board and chasing outstanding payments.
- Support timesheet and expenses compliance, ensuring project data is accurate and up to date.
Ad hoc duties
- This is a new role, so we anticipate that the responsibilities will evolve over time. We are looking for someone who is happy to get involved in a range of ad hoc duties to support our growing business. Other duties may include co-ordination of client events, front of house cover, new starter onboarding logistics and producing reports.
What are we looking for
Essential skills and experience:
- Excellent design and layout skills using Adobe InDesign (essential) – confident in producing proposal and report graphics independently.
- Proven experience in an operations or project coordination role.
- Strong administrative and organisational skills, with the ability to manage multiple projects simultaneously.
- Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint) and familiar with CRM and workflow tools.
- Excellent written and verbal communication skills, with a strong eye for detail and presentation.
- Positive, solution-focused attitude and willingness to support across different aspects of business operations.
Desirable:
- Experience working in a consultancy, architecture, or design-related environment.
- Interest in economics, planning, or the built environment.
We are looking for your employment to start immediately but are flexible around start dates if there are reasons why you are unable to start immediately. Whilst we are ideally looking for a full-time five day a week employee, we are happy to discuss flexibility requirements for the role and part-time positions if this is preferred.
